1. Acceptance of Terms

These Terms and Conditions ("Terms") constitute a legally binding agreement between you ("the Customer", "you", or "your") and Doctor Icon LLC ("Doctor Icon", "we", "us", or "our"), a company registered and operating in the United Arab Emirates. By accessing our website at doctoricon.com, browsing our product catalogue, submitting a quote request, placing an order, or otherwise using any of our services — whether online, by telephone, or in person — you acknowledge that you have read, understood, and agree to be bound by these Terms in their entirety, along with our Privacy Policy and any other policies or guidelines incorporated by reference herein.

• You are a qualified dental professional, healthcare institution, or authorised distributor where required for the purchase of regulated or professional-use products.

Account Responsibility

• If you register an account with Doctor Icon, you are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account.
• You must notify us immediately at info@doctoricon.com if you become aware of any unauthorised use of your account or any other security breach.
• Doctor Icon will not be liable for any loss or damage arising from your failure to protect your account credentials or to report a breach promptly.
• We reserve the right to suspend or terminate any account that we reasonably believe has been compromised, used fraudulently, or is in breach of these Terms.

2. Product Information

Doctor Icon strives to ensure that all product descriptions, specifications, images, pricing, and availability information published on our website and in our product catalogues are accurate and up to date. However, given the extensive and continually evolving nature of our product range — which encompasses dental implants, handpieces, sterilisation equipment, consumables, imaging systems, dental chairs, and more — we cannot guarantee that all information is error-free at all times.

• Customers are responsible for verifying that products are suitable for their intended clinical application, compatible with their existing equipment, and compliant with any professional or regulatory requirements in their jurisdiction.
• We strongly recommend consulting the manufacturer's technical documentation and seeking professional advice before purchasing equipment or instruments intended for clinical use.
• Doctor Icon is not liable for any damage to equipment or clinical outcomes resulting from the use of incompatible or incorrectly specified products.

Certifications and Regulatory Status

• Many products in our catalogue carry CE marking, FDA clearance, ISO certifications, or equivalent regulatory approvals from their country of origin. Certification details are listed on individual product pages where available.
• It is the customer's responsibility to confirm that any product purchased from Doctor Icon meets the regulatory requirements for import, distribution, and clinical use in their country or emirate.
• For products subject to UAE Ministry of Health registration requirements, please contact our team for confirmation of registration status before placing an order.

Product Availability and Pricing

• All products are offered subject to availability. In the event that a product becomes unavailable after your order is placed, we will notify you promptly and offer an alternative product, a backorder arrangement, or a full refund.
• Prices displayed on the website are indicative and may be subject to change. Final pricing is confirmed on the quotation or proforma invoice issued prior to payment.
• Volume discounts, contract pricing, and promotional rates may be available for regular or large-volume customers. Please contact our sales team for details.

3. Orders & Payment

All orders placed with Doctor Icon — whether through our website, by email, by telephone, or via our sales representatives — are subject to these Terms and Conditions. An order constitutes an offer by you to purchase the specified products at the stated price and is only accepted by Doctor Icon upon the issuance of a formal order confirmation or proforma invoice. Doctor Icon reserves the right to decline any order without obligation to provide a reason.

Payment Methods

• Bank Transfer (Wire Transfer): Our preferred payment method for B2B orders. Our banking details will be provided on the proforma invoice. Orders are processed upon receipt of cleared funds.
• Credit/Debit Card: Accepted via our secure online payment gateway for website orders. We accept Visa, Mastercard, and major international cards. Card transactions are processed in AED unless otherwise specified.
• Cheque: Accepted from pre-approved corporate accounts only. Goods will not be dispatched until the cheque has cleared.
• Cash: Accepted for in-person purchases at our office location in Dubai, subject to limits set by UAE cash transaction regulations.

Credit Terms (Net-30 / Net-60)

• Credit terms of Net-30 or Net-60 days from invoice date may be extended to approved business customers following a formal credit application and internal review process.
• To apply for credit terms, please contact our accounts team. Approval is subject to satisfactory credit assessment, trade references, and compliance with our internal credit policy.
• Doctor Icon reserves the right to withdraw credit terms at any time in the event of late payment, a deterioration in the customer's financial position, or a breach of these Terms.
• Overdue invoices will accrue late payment charges at a rate of 2% per month from the due date until full payment is received, in addition to any reasonable collection costs incurred.

Deposits and Advance Payments

• For large or custom orders, specialised equipment, or products sourced to order, Doctor Icon may require a deposit of between 30% and 50% of the order value prior to processing.
• Deposits are non-refundable in the event of cancellation by the customer, unless the cancellation is due to our failure to deliver the product within an agreed timeframe.

VAT and Currency

• All prices are quoted exclusive of Value Added Tax (VAT) unless explicitly stated otherwise. VAT at the applicable rate (currently 5% in the UAE) will be added to the invoice total for all taxable supplies made within the UAE.
• Tax invoices compliant with UAE Federal Tax Authority (FTA) requirements will be issued for all VAT-registered customers. Please ensure your Tax Registration Number (TRN) is registered with your account for correct invoice issuance.
• Prices are quoted in UAE Dirhams (AED) as the primary currency. Pricing in other currencies may be provided as a courtesy estimate only and is subject to prevailing exchange rates at the time of payment.

4. Shipping & Returns

Doctor Icon delivers to customers across the UAE and to select international destinations. We partner with trusted logistics and courier companies to ensure your orders arrive safely and on time. All shipments are handled with care appropriate to the nature of the products, including temperature-sensitive items where applicable.

Delivery Times by Region

• Dubai and Abu Dhabi: Standard delivery within 1–2 business days from dispatch. Same-day or next-day delivery available for urgent orders in Dubai subject to stock availability and agreement prior to order confirmation.
• Other UAE Emirates (Sharjah, Ajman, Ras Al Khaimah, Umm Al Quwain, Fujairah): Standard delivery within 2–3 business days from dispatch.
• GCC Countries (Saudi Arabia, Kuwait, Qatar, Bahrain, Oman): Estimated delivery within 3–7 business days from dispatch, subject to customs clearance.
• Other International Destinations: Estimated delivery within 7–21 business days, subject to destination country customs procedures and import regulations. Additional import duties, taxes, and customs fees may apply and are the responsibility of the recipient.

Delivery estimates are indicative only and may be affected by factors beyond our control including adverse weather, customs delays, public holidays, and carrier disruptions. Doctor Icon will not be held liable for delays caused by such circumstances.

Shipping Costs

• Shipping costs are calculated based on order weight, volume, destination, and selected shipping service, and will be confirmed on the proforma invoice or at checkout.
• Free shipping within the UAE is available for orders meeting a minimum order value threshold, as communicated on the website or by our sales team.
• For international shipments, the customer is responsible for all import duties, taxes, customs clearance fees, and any additional charges imposed by destination country authorities.

Returns Policy — 14-Day Return Window

Doctor Icon accepts returns for eligible products within 14 calendar days of the delivery date, subject to the following conditions:

• The item must be unused, undamaged, and in its original, unopened manufacturer's packaging with all labels, accessories, and documentation intact.
• Consumables, sterile items, and single-use products cannot be returned once the packaging seal has been broken for hygiene and patient safety reasons.
• Custom-configured or special-order products that were ordered specifically for you cannot be returned unless they are found to be defective or incorrectly supplied by Doctor Icon.
• Returns for items damaged in transit must be reported within 48 hours of receipt with photographic evidence. Please do not return transit-damaged items without first contacting our team.
• Returns due to change of mind are subject to a restocking fee of up to 15% of the product value, and return shipping costs are borne by the customer.

RMA Process

• All returns must be pre-authorised by Doctor Icon. To initiate a return, contact our customer service team at info@doctoricon.com or call +971 4 000 1234 to request a Return Merchandise Authorisation (RMA) number.
• Clearly mark the RMA number on the outside of the return packaging. Returns received without a valid RMA number will not be processed and may be returned to sender at the customer's expense.
• Once the returned item is received and inspected by our team, we will notify you of the outcome within 5 business days. Approved refunds will be issued to the original payment method within 10 business days of inspection approval.

5. Warranty & Liability

Doctor Icon works exclusively with reputable manufacturers and authorised distributors to source genuine, high-quality dental products. All products sold by Doctor Icon carry the manufacturer's standard warranty. In addition to the manufacturer warranty, Doctor Icon provides support in facilitating warranty claims on your behalf as part of our customer service commitment.

Warranty Periods by Product Type

• Dental Units and Chairs: Typically covered by a 2-year manufacturer's warranty on parts and labour, subject to professional installation and routine maintenance by authorised service engineers.
• Dental Handpieces and Motors: Usually covered by a 12-month warranty against manufacturing defects in materials and workmanship under normal clinical use conditions.
• Sterilisation and Autoclave Equipment: Typically 1–2 years manufacturer's warranty. Extended service contracts may be available — please enquire with our team.
• Digital Imaging and X-Ray Systems: Typically 12–24 months warranty on hardware components; software updates and support terms vary by manufacturer.
• Dental Implant Systems and Prosthetic Components: Warranty terms vary by manufacturer; please refer to the specific manufacturer's warranty card included with the product.
• Consumables and Disposables: Covered by a shelf-life guarantee to the expiry date printed on the packaging, provided storage conditions specified by the manufacturer are maintained.

Warranty Void Conditions

Warranties will be voided and Doctor Icon will not be liable for defects arising from:

• Physical damage, misuse, neglect, or accidental damage caused by the customer or a third party.
• Use of the product outside the scope of its intended clinical application or contrary to the manufacturer's instructions.
• Modification, repair, or servicing of the product by parties not authorised by the manufacturer.
• Use of non-genuine, counterfeit, or incompatible accessories, spare parts, or consumables.
• Failure to follow recommended maintenance schedules or cleaning and sterilisation procedures.
• Normal wear and tear, including consumable components such as turbines in handpieces, light bulbs, and seals.

Limitation of Liability

• To the fullest extent permitted by applicable UAE law, Doctor Icon's total liability to you in connection with any claim arising out of or related to these Terms, whether in contract, tort (including negligence), or otherwise, shall not exceed the total value of the specific order giving rise to the claim.
• Doctor Icon shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of revenue, loss of profits, loss of business, clinical delays, or loss of data, even if we have been advised of the possibility of such damages.
• Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded or limited under applicable UAE law.

6. Privacy & Data

Doctor Icon is committed to protecting your personal data and handling it responsibly in accordance with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL). Jurisdiction

• The courts of the Emirate of Dubai, United Arab Emirates shall have exclusive jurisdiction to hear and determine any dispute, claim, or proceedings arising out of or in connection with these Terms, and each party irrevocably submits to the exclusive jurisdiction of those courts.
• Notwithstanding the foregoing, Doctor Icon reserves the right to seek injunctive or other equitable relief in any jurisdiction where necessary to protect its intellectual property or confidential information.

Severability

• If any provision of these Terms is found by a court of competent jurisdiction to be invalid, unlawful, or unenforceable, that provision shall be deemed severed from the remainder of the Terms.
• The remaining provisions shall continue in full force and effect and shall be interpreted so as to give effect, as far as possible, to the intentions of the parties as expressed in the Terms as a whole.

Entire Agreement

• These Terms, together with our Privacy Policy and any quotation, order confirmation, or agreement issued by Doctor Icon in connection with a specific transaction, constitute the entire agreement between you and Doctor Icon with respect to your use of our website and services.
• They supersede and replace any prior agreements, representations, warranties, or understandings, whether written or oral, relating to the same subject matter.
